Vehicle Scheduling & Cost Information

Following, you will find information related to vehicle scheduling, deadlines, cost and other helpful details associated with using a vehicle for University purposes.

Vehicle Requests, Deadlines & Usage Priorities

Vehicle requests must be submitted on the appropriate form. The Pool Vehicle Request Form shall be utilized for requests associated with usage of University-owned vehicles. The Rental Vehicle Request Form shall be used for all other locally-contracted Enterprise vehicle rentals. Forms are located on our website (

Pool vehicles, which require a University bus driver, include: (a) Three 28-passenger buses, (b) One 26-passenger, wheelchair accessible bus, (c) Two 24-passenger buses with an inside cage that is lockable (with padlock you provide) and (d) One 15-passenger van.

Vehicle requests must be received by Friday, September 6, 2013 at 5:00 p.m.; requests may be submitted to or via fax at (707) 826-5888. Requests received by the deadline will be scheduled based on the following priorities: (1) Academic Class or Department Use, (2) Athletics, (3) Recreational Sport Clubs, (4) Other Student Clubs. Vehicle requests received after the deadline date noted above will not be given priority as listed and will be processed on a first-come, first-served basis.

Cost Information

Mileage rates for University-owned vehicles for the 2013 Fall semester is $1.80/mile for buses and $1.40/mile for the van.

Other Reservation Requirements & Information

Following, you will find some additional information to assist you with your vehicle reservation:

  • Once scheduled, we will provide you with a confirmation letter detailing the dates, times, vehicle assigned, and other pertinent information concerning your reservation. This will be provided via email and/or fax to the contact person listed on the reservation request.
  • All keys for weekend and holiday rentals must be obtained from Facilities Management during normal vehicle reservation desk operating hours (Monday- Friday, 8:30 a.m.- 4:30 p.m.).
  • For trips over 100 miles in one direction, a copy of the approved Request for Authorization to Travel must be on file at Facilities Management for the reserved vehicle to be released. Should you require assistance in completing a Request for Authorization to Travel, please contact Business Services. Forms may be downloaded via the following web address:
  • For trips utilizing an Enterprise Rental vehicle, all drivers are required to be 21 years or older, have a valid driver's license (may be out of state), and a current defensive driving card.
  • Defensive driving classes are now available online at ( Once you have completed the course, you must bring your certificate to Facilities Management to obtain your defensive driving card.
