CAMPUS-WIDE ANNUAL SPACE AUDIT IN PROGRESS

HSU Facilities Management is currently in the process of conducting the annual Campus Space Audit, as recommended by the CSU Chancellor's Office. Each spring, every CSU campus is required to send the Chancellor's Office a "Space and Facilities Use Update" summarizing campus space use.

The last thorough space audit at HSU was over three years ago, so in order to best comply with this Chancellor's Office requirement, the new Facilities Management Space Analyst (Liz Whitchurch) is walking every room on campus. In the future, these audits will be a yearly winter/spring occurrence here at HSU.


The annual Chancellor's Office Space and Facilities Use Update is generated from data in FacilitiesLink--the official HSU space database. This database is a powerful tool used by HSU faculty and administrators to quantify our university's space resources across departments, colleges, and divisions. It's accessible to all departments on campus and we encourage you to request your FacilitiesLink account today. Data collected during the annual space audit will be entered into FacilitiesLink later this summer, and then this data will be used to generate the Space and Facilities Use Update we send to the Chancellor's Office.

In an effort to minimize disruption, most of the Spring 2016 Audits have taken place after-hours. Many faculty and most students were off-campus during the week of May 17, and therefore many buildings were audited during business hours during that week. Remaining spaces will be audited before the start of Fall 2016 classes.

Facilities Management thanks you for your patience as we visit offices, classrooms,
work spaces, and even custodial spaces and restrooms. These visits will be conducted by the Space Analyst (Liz Whitchurch) and her assistant (Archer Harmony), and they should last no longer than about 2 or 3 minutes in most spaces. Audit goals include documenting the condition of the physical space with a low-resolution panorama photo and verifying occupant count and identities. Occupant presence is not required. 

Due to the sheer number of spaces and the time limitations of the people involved in the project, we will not be making audit appointments. We can say however, that Facilities Management plans to finish auditing every HSU building, with the exception of dormitories, by the end of July.

Once audits are complete, Liz Whitchurch will send each department or organization a list of their associated spaces. Campus verification of the space audit is extremely valuable in ensuring that spaces are assigned properly and occupants are identified without error.
