Google Apps Tips :: Moving your Zimbra Calendar

To move the information in your Zimbra Calendar(s) to your Google Calendar, you'll need to first export the data from Zimbra and then import it into Google. The instructions below cover one complete transfer sequence; if you have more than one Zimbra Calendar, you'll need to repeat these steps for each calendar you want to move. Exporting a Zimbra Calendar

1. Log into Zimbra

2. Click Preferences on the right side of the navigation bar.

3. Click the Import/Export tab. If you don't see an Import/Export tab, you'll need to click Advanced Version in the top right-hand corner of your screen and select Preferences again.

4. Scroll down to the Export section and click the Calendar button.


5. Next to Source: click Calendar (or Browse)


6. Select the calendar you want to export, and click OK.


7.  Click Export.



8. If prompted to Open or Save the file, click Save. Take note of where you save the file - it will have a name like Calendar.ics, or the name you gave the calendar in Zimbra.


Repeat steps 6-9 if you have more than one calendar to move.

Importing a Zimbra Calendar into Google Apps

Before you begin, it's important to note that in Google Apps, unlike Zimbra, only your primary calendar - the one that's attached to - affects your free/busy time. If you had two calendars in Zimbra that both had appointments, such as "Work" and "Personal", it would probably be best to import both to your primary Google calendar to avoid scheduling conflicts. If you use additional calendars for things like birthday reminders, those are safe to keep separate.

The steps below guide you through importing your primary calendar; if you are importing a different calendar, you'll need to create a new Google calendar first.

1. Log into Google Apps

2. Click the Calendar link at the top left of the screen


3. On the left-hand side of the screen under Other calendars - NOT My calendars, click Add, then Import calendar.


4. Click Browse or Choose File and locate the file you downloaded earlier (named Calendar.ics or the name of the Zimbra Calendar). The file is probably in your Downloads folder or on your Desktop, but it depends on how your web browser is configured.


5. Choose the Calendar you want to import to. In this example, you're importing to your primary calendar, which has a name that looks like your HSU email address.


6. Click Import. Depending on the amount of data in your calendar, the import process may take a while. You can check the progress of the import in your browser's status bar.


If the import is successful, you will probably see a message telling you the number of events (calendar entries) processed and the number successfully imported. It's possible you'll instead see a blank box - that also indicates success.

If all of your events were successfully imported, click Close to complete the process.

If you see an error message, read Troubleshooting Calendar Imports to resolve the problem.


If you have additional calendars to import, repeat the above steps using the names of new calendars as appropriate.


Create a New Google Calendar

To create a new calendar, just follow these steps:

  1. Log into Google Apps and go to the Calendar view
  2. At the bottom of the My calendars section on the left, click the Add link.
  3. Enter the required information and click Create Calendar.

All of the calendars you create will be listed under My Calendars on the left side of your page. For each of the calendars, you can add, delete, and edit events any time you like.

Note that there is a limit to the number of calendars you can create at one time. If you see an error message when creating additional calendars, please wait 24 hours before trying again.
