Google Apps Tips :: Moving your Zimbra Address Books

To move the information in your Zimbra Address Book(s) to Google Contacts, you'll need to first export the data from Zimbra and then import it into Google. The instructions below cover one complete transfer sequence; if you have more than one Zimbra Address Book, you'll need to repeat these steps for each address book you want to move. Note that, if you had any distribution lists or groups in Zimbra,  you'll need to manually recreate these in Google Contacts, but it shouldn't take long.

Exporting your Zimbra Address Book

1. Log in to Zimbra

2. Click on Preferences on the right-side of the navigation bar.


3. Click the Import/Export tab. If you don't see an Import/Export tab, you'll need to click Advanced Version in the top right-hand corner of your screen and select Preferences again.

4. Scroll down to the Export section.

5. Next to Type: select Contacts.

6. Click the Account Contacts pull-down menu and select Account Contacts.


7. Click Browse.


8. Select the Address Book you want to export. Contacts is your primary Address Book. Emailed Contacts stores every address you've ever emailed in Zimbra.

9. Click OK.


10. Click Export.


11. If prompted to Open or Save the file, click Save. Take note of where you save the file - it will have a name that ends with .csv.

12. Repeat steps 7-11 if you have additional address books to export.

Importing an Address Book to Google Apps

1. Log into Google Apps

2. In the left-hand navigation, click Contacts.


3. Click the Import link in the top right-hand corner.


4. In the Import window, click Browse or Choose File.

5. Navigate to your download location and select the file you exported earlier.


6.  Click the Import button.

7. You will see a message telling you the number of contacts imported. Click OK to display those contacts.




Step 8:  Repeat steps 3-7 if you have more than one address book to import.

Recreating Groups in Google  

Because you can't import groups directly from Zimbra to Google, you'll need to first create a reference list for yourself of who was in which group on Zimbra, and then recreate that group membership in Google. It sounds more complex than it actually is - it shouldn't take more than a few minutes to recreate each distribution list.

1. Log into Google Apps

2. Click on Contacts in the left navigation to open the Contacts view

3. Select the contact group you want to recreate. You'll see all of your members listed in the Notes field.


4. Copy the list of members and paste it in another document so you can refer to it while repopulating the group.
5. Now open up the Contacts list and select the names you want to include in this group.
6. Finally, open the Groups drop-down menu to the right of the Contacts list display and select the name of the group to add the selected contact names to.

 If you need to create a new group, just:

  1. Click Contacts along the side of any page.
  2. Click the New Group link on the left side of the Contact Manager, or select Create new from the Groups drop-down menu.
  3. Enter the name of the group.
  4. Click OK.

You can then proceed to add contacts to the new group as described above.
